You have planned your wedding yourselves and want to enjoy the day carefree with your loved ones. As your wedding coordinator in Munich I take over on site, from set-up into the evening. You give me your plan, and I make sure it works.

Who it’s for

Is this right for you?

Day-of coordination is right for you if you enjoy planning but want to experience your wedding as guests and not as project managers. It also takes the pressure off your family and your witnesses. Your loved ones are usually the very people you want to spend the day with, and also the ones who would otherwise have the most stress. They should be raising a glass with you, not looking for the caterer behind the scenes.

It is less suitable if your planning still has large gaps. I come in a few weeks before the wedding and can then only coordinate what has been booked and agreed. If the venue or important vendors are still missing, partial planning beforehand helps you more. And for a very small celebration with your closest circle you may not need me at all – I will tell you that honestly too.

What does a wedding coordinator do?

In Germany the role has a wonderful name, Zeremonienmeisterin, literally “master of ceremonies”. It is the person who runs the schedule on the wedding day. She knows when the sparkling wine needs to be cold, when the band sets up and who has the rings.

Traditionally friends and family take this on. That works, but it comes at a price: these people work all day and only half celebrate. As a professional coordinator I bring experience with many different schedules, know the typical bottlenecks and am not shy about keeping things on track, kindly and firmly.

What I am not: a presenter in the spotlight. You notice my work mainly because everything runs.

When I come on board

Day-of coordination does not mean we meet for the first time on the morning of the wedding. To lead your day, I need to know it beforehand. That is why I come on board a few weeks before the date.

During that time we go through your planning, I check the timeline for gaps and get in touch with the venue and your vendors. On the wedding day everyone then knows that I am their point of contact. The contracts and bookings remain yours; I take over the coordination.

If you would like support earlier, for example with finding individual vendors, day-of coordination can be combined with partial planning.

How it works

The process.

Step by step, from the first hello to after the party.

  1. 01

    Free first call

You tell me about your wedding – where, how big, what is already in place. I explain how I work on the day and we check whether your date is free.

  2. 02

    Handover of your planning

You give me everything there is – contracts, contacts, schedule, seating plan, wishes. I read up and ask the questions that someone else would otherwise ask on the day.

  3. 03

    Final to-dos and your questions

You receive a list from me of everything that still needs doing before the wedding. And there is room for all the questions still on your mind.

  4. 04

    Timeline and briefing

Your plan becomes a timeline with times and responsibilities. The venue, the vendors and everyone preparing a contribution receive it.

  5. 05

    Your wedding day

I am there before you, oversee the set-up and welcome the team. During the celebration I keep the schedule and solve what needs solving without you noticing.

  6. 06

    Wrap-up

At the end of the evening I hand over to the venue and clarify what happens with gifts, decorations and borrowed items. Afterwards we catch up once more, if you like.

Of course she can. The real question is whether you want her to. Whoever coordinates the schedule, accepts gifts, phones the DJ or rearranges the decorations misses half the day. With day-of coordination your maid of honour can do what she is there for, which is being by your side.

From set-up to the point in the evening when the party runs by itself, usually after the last fixed items on the programme. We agree the exact time frame beforehand and it is stated in your quote.

Then I deal with it before it reaches you. A vendor is stuck in traffic, it rains during the reception, one part of the programme runs long. For most things there is a plan B that we discussed beforehand, and for the rest I find a solution on site.

Yes, in the countryside around Munich, on the lakes of Upper Bavaria and at Lake Garda. For longer distances, travel and possibly an overnight stay are added, and that is stated transparently in the quote.

Yes. I speak German and English, so I can look after English-speaking guests and translate between you and German-speaking vendors on the day.
